Scan?
Scanning your documents allows you instant access to any one of thousands
or even millions of pages. As the documents are scanned, an associated
indexing system allows the recreation of a file-system organization. Each
document is assigned a unique ID that may have multiple alpha or numeric
parts. The parts may represent such things the document source, box, and
file. Optional flags may be used to keep track of bindings.
How much space do scanned images take?
The files resulting from scanning may be burned to CD ROM and/or loaded
to your disk systems. At approximately 15,000 pages per CD ROM, 500 packed
bankers boxes containing 1.5 million pages, are reduced to 100 CDs. At
today's disk prices, the hardware cost to store this much data is less

What is the process of scanning?
OfficeSolution's scanning process includes prepare of documents for scanning
by removing bindings, staples, clips, rubber bands while keeping track
of them for subsequent reassembly. The documents may be scanned as black
and white or color images. Oversized and colored documents may be scanned
using special scanners.
The documents are fed into scanners by operators who monitor the entire
process to be sure each page is properly identified and oriented. Since
litigation documents are sometimes old, damaged, multiple generation copies,
faint or illegible pages may require scanning adjustments to be sure they
are ultimately readable.
How
are the scanned images used?
Once scanned, the images are burned to CDs and retrieval indices are prepared
either to your specifications or for use with one of the retrieval software
systems that D-M recommends. You can load the image data from CDs to your
disk system or use the CDs directly with the image retrieval software
and pull images up on your screen.
CR Conversions
If the original documents are of sufficiently high quality, they can be
subjected to OCR, Optical Character Recognition, to create files with
the actual text represented by the images. It is important to understand
that this process is not perfect, since the text on the originals may
not be clean. Handwritten text, certain forms and bad copies are all poor
candidates for OCR. Optionally, operators can correct OCR errors that
are detected by the system and that they spot in proof-reading. D-M can
do a test to provide a sample of the quality you can get from OCRing a
particular set of documents.
